How to Prep for a Book Festival: Your Ultimate Guide

Alright, fellow book enthusiasts—get ready for a deep dive into the world of book festivals! These events are a sacred pilgrimage for bookworms like us, jam-packed with panels, readings, signings, and lively booths that buzz with the shared love of literature. Having attended my fair share of book festivals, including my recent trip to the LA Times Festival of Books (where I met some fantastic Pango users!), I'm here to guide you through the essentials for your next—or first—book festival adventure.

What is a book festival?

Picture this: a vibrant gathering of readers and writers, featuring panels with esteemed authors, captivating readings, book signings galore, and an array of booths showcasing bookish merch, local services, and other organizations that support a reader’s or writer’s literary life. These festivals happen all over the globe and are typically weekend extravaganzas where book lovers converge to learn, shop, mingle, meet their favorite authors, and revel in their shared passion for books.


At the LA Times Festival of Books this year, I had the pleasure of meeting Hayley Kiyoko, Dr. Jen Gunter, and Jennine Capó Crucet–all while they signed my books and shared some delightful conversations. I’ve met Angeline Boulley, Kali Fajardo-Anstine, and Jasmine Guillory at book festivals, as well! Imagine watching Todd Parr or Salina Yoon charm kids at the children’s stage or catching inspiring talks from Kerry Washington, Angie Kim, Steven Rowley, and John Scalzi–all highlights from the LA festival this year! 


Bigger festivals like these offer an incredible variety of panels and showcases. I got to attend a cooking demo with Nancy Silverton (and yes, there were samples!), as well as screenings of adaptations like John Green's Turtles All the Way Down and the Hulu series based on Queenie by Candice Carty-Williams. There's something for everyone, from children's authors like Shannon Hale and David Shannon, to middle-grade favorites like Donna Barba Higuera and Lois Lowry, and young adult superstars like Samira Ahmed and Kim Johnson. But my personal favorite? A panel dedicated to romance authors featuring Christina Lauren, Xio Axelrod, Tia Williams, and Elissa Sussman—talk about star-studded!

What to expect

The bigger the festival or the larger an author’s fanbase, the more likely you’ll experience some long lines. But don’t let that get you down! Embrace the festival spirit by making friends in line—swap bookstagram or booktok handles and, who knows, you might snag an invite to a meetup. Readers tend to be introverts so here’s an easy conversation topic to get you started: Ask your line neighbors which of the author’s books is their favorite or who they’re most excited to see during the festival.


Book festivals are a treasure trove of new-to-you authors just waiting to be discovered, too. In addition to the festival panels and events, many writers’ organizations, publishers, and bookstores with their own booths will feature author signings, as well! Be sure to wander the vendor booths to discover new indie authors who might not be on your radar yet.

Most places conveniently accept Apple Pay or Venmo, making transactions a breeze. Keep an eye out for freebies, too! Lots of booths will have free gifts with purchase, such as tote bags and stickers, and there’s bound to be a promotional bookmark (or five!) to pick up. You might also encounter games like prize wheels and disc drops to win free merch.


If you require accessibility accommodations, make sure you check with the event staff ahead of time. There is often a booth dedicated to making sure every part of the festival is accessible to all, including ASL interpreters, mobility aids, nursing rooms, and even quiet zones.

What to bring

Pack smart! Check the weather forecast, wear your favorite bookish t-shirt, and opt for comfortable shoes–you’ll be on your feet a lot. A backpack is a must for carrying your inevitable book haul, but some folks even bring small rolling suitcases (just check the event’s bag policy). Be sure to stay hydrated and have fun!


Essentials to have in your festival backpack:

  • A reusable water bottle
  • Snacks to keep you fueled
  • Sunscreen and a hat for outdoor events
  • Extra battery and charging cable to keep your devices charged
  • Hand sanitizer
  • First aid essentials like bandages and ibuprofen


Non-essentials that are nice to have with you:

  • Notebook and a pen to jot down notes
  • Electrolyte tablets or packets to add to your water
  • Sticky notes to indicate the page and desired inscription at author signings
  • Cash for tipping any performers or food truck vendors
  • A garbage bag to cover your backpack or books in case of rain (Pro tip: Clean dog waste bags are the perfect size to keep a book waterproofed!)
  • Nice insoles for your shoes for those of us above a certain age

A few more book festival tips & tricks

  • Reserve tickets for events in advance, even if they’re free. Popular panels fill up quickly.
  • If there's an event app, download it to keep track of schedules, or have it readily accessible on your phone.
  • Identify your top 3-4 authors you want to make sure to see and prioritize your day around their events.
